Details:

  • Pay range: $23/hr ($48K annually)
  • Schedule: 6:30am- 3:30pm Monday - Friday
  • Location: in office in Minnetonka, MN (in office for training and then partially in office)

Job Duties:

  • Own the delivery of Time & Materials (T&M) and project requests-driving on-time execution and consistently exceeding client expectations.
  • Be the go-to problem solver who responds to client needs with clarity, professionalism, and proactive updates as work progresses.
  • Build strong vendor relationships by coordinating directly with technicians and suppliers to place orders, track progress, and keep projects moving.
  • Organize and manage project deliverables through SharePoint/BOX, ensuring seamless access and smooth workflow for the entire team.
  • Keep both internal and external teams aligned by sharing timely updates that support better collaboration and faster results.
  • Take charge of accurate, timely billing to support healthy project cash flow and customer confidence.
  • Use tools like NetSuite, AIM, and Microsoft Office to navigate project data, documentation, and communication with speed and accuracy.
  • Support onsite technicians by managing check-in/check-out, clarifying scopes of work, and answering day-to-day job questions.
  • Identify and communicate scope changes early-helping avoid project delays and ensuring client satisfaction.
  • Serve as the communication bridge between technicians and clients, fostering smooth coordination and successful service outcomes.
  • Document dispatch details and technician activity to maintain clean, accurate project records.
  • Coordinate every phase of the T&M work plan-from site surveys to installations, service calls, and client follow-ups-ensuring nothing falls through the cracks.
  • Verify vendor invoices for accuracy and ensure proper billing alignment.
  • Monitor material procurement to keep projects on schedule and avoid supply-related delays.

Requirements:

  • At least 1+ years of experience in a professional office setting (project coordination, project management or similar experience would be a plus!)
  • Excellent communication and customer service skills
  • Proficiency with Microsoft Office Suite, Salesforce (would be great to have)
  • Ability to work in fast paced environment, multi-task, and meet deadlines
  • Professionalism, strong work ethic, confidentiality, and commitment to integrity
  • High degree of accuracy and attention to detail
  • Self-starter with proven ability to work independently and with a team
  • Desire and ability to grow with the company
